In continuation of Syracuse University’s Flexible Work and Sustainability Initiative, Chancellor and President Nancy Cantor has approved “Green Days” for the 2009-2010 fiscal year. Accordingly, the University will be operating under its Green Days format for the Winter Break period from Dec. 24, 2009, through Jan. 3, 2010 (returning to regular operation on Monday, Jan. 4, 2010).

In addition to the regular University holidays of Dec. 24, 25 and 31 and Jan. 1, the following days have been designated as paid “Green Days”: Dec. 28, 29 and 30.

With the Winter Break schedule, the University will see sustainable benefits through a reduction of carbon emissions otherwise generated through the daily commutes of University staff and campus transportation; reduced fuel consumption and costs; and energy savings resulting from the closing or reduced operation of campus units and facilities. In developing this sustainable initiative, the University continues toward its effective and efficient plan to ensure a healthy and sustainable lifestyle, as part of the American College and University Presidents Climate Commitment, which Chancellor Cantor signed in 2007.

Units providing essential services that will remain operational during the Winter Break include Public Safety, Admissions Processing, Physical Plant and Maintenance. Some facilities—e.g., E.S. Bird Library, Goldstein Student Center, Health Services office—will be open at reduced hours. All buildings on campus will be on a reduced-occupancy schedule, and temperatures in most will be set at 60 degrees.

Following is a handy guide of Winter Break services, directions and tips.

SERVICES DURING WINTER BREAK/GREEN DAYS

Admissions/Admissions Processing

Admissions Office is closed during the Winter Break. Admissions Processing (Skytop Building) will work all week from 8 a.m.to 4:30 p.m.


Bookstore

The University Bookstore Textbook Department will be fully staffed from 8:30 a.m.–4 p.m. each day and available to faculty needing to place orders for textbooks and course materials for the spring semester. The Textbook Department can be reached by telephone at 443-9901, e-mail at textbook@syr.edu, or online at http://bookstore.syr.edu/.

In addition, Hawkins Warehouse and Schine Student Center Receiving areas will be open and staffed to receive and process textbook and course materials deliveries. Hawkins receiving staff can be reached at 443-1611. Schine receiving staff can be reached at 443-1664.

The Bookstore locations will be closed for sales. Online orders may be placed at http://bookstore.syr.edu/.

Building Occupancy

Effective Dec. 23 at 5 p.m. and concluding Jan. 3, all buildings will be on a reduced occupancy schedule. Space temperatures will be set at 60 degrees, unless arrangements have been made. For assistance with building temperature issues, call 443-1535.

Research spaces requiring a normal operating setting will be exempt from the temperature setback. Due to extensive research, the following buildings will be excluded from the temperature setback:

  • Center for Science and Technology
  • Heroy Geology Laboratory
  • Life Sciences Complex
  • Link Hall
  • Physics Building

All academic and administrative buildings will be locked/closed Dec. 24–Jan. 3. If you require your building to be open on specified dates and times, you will need to place a request with the specific dates and times by contacting the locking account at locking@syr.edu and Paul Bowman at pmbowman@syr.edu. Bursar’s Office

The Bursar’s Office will be closed. Student account payments may be made by credit or debit card or via EFT using either of the associated links on the Bursar Office’s website at http://bfasweb.syr.edu/bursar/index.html. Additional payment information can be found by clicking on the “PAYMENT OPTIONS” link along the left side of the Bursar Office’s webpage.

Campus Bus Shuttle

The campus bus shuttle will follow the normal interim semester schedule as listed on the Parking and Transit Services website (http://parking.syr.edu/).

Carrier Dome

Dec. 24–28: Closed.

Monday, Dec. 29: Open 9 a.m.–4:30 p.m.

Tuesday, Dec. 30: Open 9 a.m. through conclusion of the men’s basketball game.

Dec. 31–Jan. 4: Closed.


Cash Operations (Archbold and Schine Student Center)

The Cash Operations offices at Archbold and the Hildegarde and J. Myer Schine Student Center will be closed. For questions or assistance, call the Treasurer’s Office at 443-2474.


Custodial Services

Custodial Services will be provided, on a reduced basis, in academic and administrative buildings. If assistance is needed, call 443-1234.


Deliveries

Materials Distribution will be accepting deliveries from outside carriers. Arrangements for deliveries to University departments can be requested by contacting Materials Distribution at 443-2446.


Deliveries (UPS and FedEx)

The Purchasing and Real Estate Department, based on department-submitted instructions, will make arrangements for UPS and FedEx deliveries to those departments. Departments for which staff will be working in locked buildings will need to contact the Purchasing and Real Estate Department to coordinate delivery instructions. If your department has a specific request pertaining to UPS or FedEx deliveries, contact Sarah Michaels in Purchasing at 443-1946 or Purchase@syr.edu to make delivery arrangements. Please provide the days that the office will be staffed, the normal delivery location and the temporary delivery location.


Disability Benefits and Workers’ Compensation Benefit Payments

Disability Benefits and/or Workers’ Compensation benefits checks will be processed in advance. All Disability Benefits checks will be processed through the payroll system, and the checks will be mailed to the employee’s home address by the Payroll Department during the week of Dec. 28. All Workers’ Compensation checks will be processed in advance (for days through Jan. 5) and mailed to the employee’s home address on Dec. 23. All employees on Disability and/or Workers’ Compensation will be notified in advance of the holiday distribution of checks. For assistance, contact Linda Egerbrecht at legrebre@syr.edu or 440-8762.


Drumlins

The Tennis Club will open Dec. 28-30 from 7:30 a.m. to 9 p.m.; Dec. 30 from 8 a.m. to 3 p.m.; Jan. 1 from 10 a.m. to 4 p.m. Call 446-2323 for court times and reservations.

The Banquet Sales Office will be open by appointment only. Call 446-4555, ext. 209 to schedule an appointment.

The Golf Shop will be closed on Monday, Dec. 28. It will be open on Dec. 29 and 30 from 9 a.m. to 4 p.m.; Dec. 31 from 9 a.m. to 3 p.m. The Golf Shop may be reached at 446-5580.

The Business and Management Offices will be closed.


Energy and Computing Management

The Chilled Water Plant will be staffed from 7 a.m.–3 p.m. For any distribution problems, site concerns, or chilled water matters, call 443-1535.


Environmental Health Office

The Environmental Health Office (EHO) will have “on-call” staff available to assist in the event of an environmental incident, chemical spill, radiation incident, biological materials incident, petroleum spill, etc. during the Winter Break/Green Days period. EHO’s “on-call” staff can be contacted through the Department of Public Safety at 443-2224.


Financial Aid Office

Financial Aid Office is closed during the Winter Break.


Food Services

Food Services will be open for athletic and special events as scheduling dictates.


Health Services

Health Services facility closed during Winter Break; 24-hour-on-call service available through answering service at 443-9005.


Housing and Food Services Maintenance (FixIt )

For issues pertaining to Housing and Food Services Maintenance, call the FixIt number (443-4948).


Housing, Meal Plan & ID Card Service Center

The Housing, Meal Plan & ID Card Service Centers at 206 Steele Hall and 210 Goldstein Student Center will be closed. Staff will monitor the Housing e-mail account and voice mail and will respond to emergency concerns only. If you have an emergency that requires immediate attention, contact the Department of Public Safety at 443-2224.


Human Resources

The Office of Human Resources will be closed Dec. 24-Jan. 3, reopening Jan. 4 at 8 a.m. Emergencies, such as those regarding medical coverage, may be reported to the Service Center by calling voice mail at 443-4042. Voice mail will be checked twice daily during the “Green Days,” and emergencies will be addressed promptly. Service Center processing will not be performed during the Winter Break period. ITS Support

ITS Walk-in Support Centers will close at 5 p.m. Wednesday, Dec. 23, and will reopen Monday, Jan. 4. ITS will monitor computing and network services throughout the Winter Break and will respond appropriately if system-wide problems occur.

On Green Days, Dec. 28–30, assistance is available from an ITS support staff member by calling 443-2677 from 8:30 a.m. - 4 p.m. or by e-mailing help@syr.edu.

On all other days during the Winter Break, problems with ITS-supported computing and network services can be reported by calling 443-2677 and pressing option three (3) or by e-mailing help@syr.edu.


Library

E.S. Bird Library will be open with limited access from Dec. 26–Jan. 4. All branch libraries will be closed for this period. For a listing of hours for Bird Library visit http://library.syr.edu/information/hours/intersession2008-2009.html.


Mail Services

Mail delivery and pick up will be provided to departments requesting service. Mail Services is contacting each campus department to determine service requests. If you have specific questions or requests, call Mail Services at 443-2803.


Maintenance Requests

Maintenance requests for academic and administrative buildings can be made by contacting Physical Plant at 443-1234. Maintenance requests for residence halls or South Campus apartments can be made by contacting FixIt at 443-4948.


Media Queries/News Services

The Office of News Services voice mail (443-3784) will be monitored regularly over the Winter Break. For an immediate concern, call the Department of Public Safety at 443-2224 or e-mail Kevin Morrow at kdmorrow@syr.edu.


Paycheck Distribution

Weekly Pay Immediately Prior to Winter Break

Weekly pay for the work week ending Dec. 16 will be paid on Wednesday, Dec. 23.

Paper paychecks and direct deposit paper pay stubs (for those on direct deposit that have not elected electronic confirmation) will be delivered to departments for pick up/distribution on Dec. 23; direct deposit will be available to individual’s accounts.

Paychecks and paper pay stubs not picked up in departments on Dec. 23 will be kept in departments for pick up/distribution on Monday, Jan. 4. Departments must ensure that these paychecks and paper pay stubs are secured in locked locations until that date.

Weekly and Semi-Monthly Pay During Winter Break

Pay for the work week ending Dec. 23 and pay for the semi-monthly period ending Dec. 30 will be paid on Wednesday, Dec. 30. This is the last paycheck of the calendar year 2009 Form W-2 reporting period.

Paper paychecks will be mailed to the employee’s permanent address as reported in MySlice on Wednesday, Dec. 23. These paper paychecks, which will be dated Dec. 30, will be mailed via U.S. Postal Service to be received on or before Dec. 30. Employees who have not signed up for direct deposit and will therefore receive a paper paycheck should ensure their permanent address is accurate by going to MySlice under Personal Services, View/Update Addresses. Any changes must be made by Dec. 23.

Direct deposit for the Dec. 30 payday will be available in individuals’ accounts on Wednesday, Dec. 30. Direct deposit pay stubs for those not receiving electronic confirmation will be available for pick up/distribution in the employee’s department on Monday, Jan. 4. Direct deposit pay stubs will not be mailed to the employee’s permanent address as they can be accessed at any time on MySlice under Employee Services, HR/Payroll, View My Paycheck.

Weekly Pay Immediately After Winter Break

Pay for the work week ending Dec. 30 will be paid on Wednesday, Jan. 6. This is the first check of the calendar year 2010 Form W-2 reporting period.

If an employee works on a “Green Day” (435), the hours worked should be coded as Regular (010) time. If the employee works less than their normally scheduled hours, the hours not worked should remain coded as “Green Day” (435). For any time worked on a “Green Day” (435), an employee will be given an equal amount of paid time off to be used prior to July 1, 2010. This time, when used, should be coded as “Green Day” (435).

Payroll Frequently Asked Questions

· If I do not have direct deposit, how will I get my paycheck on Dec. 30?

Paychecks will be mailed to your permanent address. You can verify your permanent address is accurate by going to MySlice under Personal Services, View/Update Addresses. Any changes must be made by Dec. 23.

· Where can I sign up for direct deposit?

Log onto http://myslice.syr.edu and select “View/Update My Direct Deposit” to enter your information.

· Why might I not receive a paycheck at my home by Dec. 30?

Several reasons could result in you not receiving your paper paycheck on or before Dec. 30. Your permanent address in MySlice has to be correct as of Dec. 23. For example, if you have moved and not changed the address, the paper paycheck will be delivered to the address per MySlice and either forwarded to your new address (if you have filed a change of address form with the U.S. Postal Service) or it will be returned to Payroll. Either case will result in potentially significant delays in your receipt of your paper paycheck.

· What happens if my permanent address is incorrect in MySlice?

Since paper paychecks will be delivered by the U.S. Postal Service, Syracuse University cannot control, track, or locate your paycheck once mailed. If you have filed a change of address form with the U.S. Postal Service to forward your mail, delivery of your paycheck will be delayed. If no such form has been filed, the paper paycheck will be returned to Payroll. Either case will result in potentially significant delays in your receipt of your paper paycheck.

· How do I change my permanent address?

Log onto http://myslice.syr.edu and select “View/Update Addresses” under Personal Services.

· If I receive my paper paycheck before Dec. 30, can I cash/deposit it?

No. Paychecks will be dated Dec. 30, 2009, and will not be valid prior to that date.

· What happens if I don’t receive my paper paycheck?

If you have not received your paycheck by Dec. 31, you can call Payroll at (315) 443-4042, option 2, and leave a message with the following information:

·Indicate that you did not receive your paycheck.
·Give your name.
·Give your SU I.D. number.
·Give the name of the University department from which you were expecting pay.
·Provide a non-work telephone number where you can be reached.
·Give your work telephone number.

Messages left at this number will be reviewed at various times during the day, and your call will be returned as soon as possible.

· If my departmental administrator didn’t input and approve the payroll by the deadline, can I get a special check for my pay?

No special checks will be issued during Winter Break. Departmental administrators are responsible to ensure time is input and approved by the deadlines.

Transcript requests received during this week will be processed in the order in which they were received, beginning on Jan. 4, 2010, when the office reopens.

For graduate students with an expected graduation date of Dec. 30, 2009, the submittal deadline for theses and dissertations has been extended to Jan. 7, 2010. However, all title pages must be signed by advisors by Dec. 30, 2009.


Safety Department

The Safety Department will be staffed and will provide emergency response if necessary. If assistance is needed, call 443-5474.


Snow Clearing

Normal snow clearing activities will take place. If assistance is needed, call 443-1234.


Sponsored Programs, Office of

Submission of applications with deadlines during the Winter Break / Green Days period should be coordinated with OSP staff in advance of the break to ensure timely review and authorization.

Student Emergencies

The Division of Student Affairs will maintain a system of "on-call" staff to respond to student emergencies during the period from Dec 24–Jan. 4. Students needing emergency assistance during this time should contact the Department of Public Safety at 443-2224 to access support services. Please note that this system will offer a response to emergencies only and that the full complement of support services offered by the division will be available when the University returns to normal business on Jan. 5.


Students (New and Transfer)

The Office of First-Year and Transfer Programs will be officially closed. The staff will check voicemail and e-mail and will respond to time-sensitive requests.


SU Abroad

SU Abroad is closed during the Winter Break. The general voicemail (800-235-3472 or 315-443-3471) and e-mail (suabroad@syr.edu) will be checked regularly; urgent calls and pressing inquires will be returned as soon as possible. Treasurer’s Office (621 Skytop)

The Treasurer’s Office will be open 9 a.m.– 4 p.m. with reduced staffing. Critical functions will continue to be performed, including security gift processing and bank transfers and payments.
